Hosting an Epic Sleepover for kids can be both fun and manageable with the right planning! Here are six tips to make it a memorable experience:


1. Set a Theme


  • Pick a theme your kids and their friends will enjoy, such as a movie night, pajama party, spa day, or outdoor camping (indoors or outdoors). This makes planning activities, decorations, and snacks much easier. Even better, have the guests dress in theme.

  • Example: A "Glow Party" with glow sticks, neon decor, safe glow in the dark body paint, and a dance-off.

2. Prepare a Fun Activity Lineup


  • Keep the kids entertained with a mix of activities. Consider crafts, games, a scavenger hunt, or a DIY project like decorating pillowcases.

  • Have a movie (or two) or story time as a wind-down activity to help transition into bedtime.

3. Create a Cozy Sleep Zone


  • Designate a comfortable area for sleeping, complete with sleeping bags, air mattresses, or blankets. Add twinkling lights, throw pillows, or themed decorations for a cozy, fun vibe.

4. Offer Kid-Approved Snacks


  • Have a mix of sweet and savory snacks, like popcorn, mini pizzas, fruit skewers, and cookies. If you have a theme, make the snacks match (e.g., s'mores for a camping theme).

  • Include a small, late-night snack bar for an extra touch of fun!

5. Set Ground Rules and a Schedule


  • Communicate basic rules like respect for others, designated areas, and when it’s time to quiet down.

  • Share a loose schedule with kids and parents so everyone knows what to expect.


6. Include a Morning Send-Off Plan


  • Provide a pickup time on the invitation. 10 am is a popular time for our parties.

  • Plan a simple breakfast like pancakes, cereal, or muffins.

  • Wrap up with a quick activity or game so kids leave on a high note.

As an Epic Sleepover party planner, I've seen my fair share of RSVP woes. But fear not, with a few tweaks, you can turn this into a smooth sailing experience. Here are my top tips for a stress-free RSVP process:


Embrace Last - Minute Changes

Make it Easy to Respond:  People are busy, so give them multiple ways to RSVP. Offer an online form, email address, or even a phone number if it's a small event. Use clear calls to action and make sure the response options are easy to understand (e.g., "Attending," "Declining," "Maybe"). Google Forms has great options.


Set a Clear Deadline:  Give people enough time to respond, but not so much that they forget. A good rule of thumb is 2-3 weeks for most events. Include the deadline prominently on your invitation and in any follow-up messages.


Follow Up Gently:  Don't be afraid to send a friendly reminder email or text to those who haven't responded by the deadline. Keep the tone polite and focus on making it easy for them to RSVP if they haven't already.


Use RSVP Tracking Tools:  There are many online tools like Google Forms, that can automate the RSVP process and track responses for you. This saves you time and ensures you have a clear picture of your guest list.


Be Flexible (When Possible):  Life happens! If someone reaches out after the deadline with a legitimate reason for missing the RSVP window, consider accommodating them if possible. For Sleepovers, when your headcount goes down, that's often a sign that you didn't have the space. The odds are in your favor.


By following these tips, you can streamline the RSVP process and get a more accurate headcount for your event. All that’s left is to relax and focus on creating a fantastic experience for your birthday kiddo and their guests.
